Square invoices help streamline your business finances, but there might be situations where you need to cancel one. This article will guide you through the process of cancelling a Square invoice,  whether you're using a web browser or the Square Point of Sale app.

Important Note: You can only cancel invoices that are in a draft, scheduled, unpaid, or partially paid state. If a payment has already been made, you cannot cancel the invoice but can issue a refund instead.

Cancelling via Square Dashboard

  1. Log in to your Square Dashboard.
  2. Navigate to the "Invoices" section.
  3. Locate the invoice you want to cancel.
  4. Click the three dots (...) next to the invoice.
  5. Select "Cancel" from the menu.
  6. Choose whether you want to notify the recipient about the cancellation. This is optional but keeps them informed.
  7. Confirm the cancellation by clicking "Cancel Invoice".

Cancelling via Square Point of Sale App

Unfortunately, the Square Point of Sale app currently doesn't offer an option to directly cancel invoices. However, you can achieve a similar outcome by marking the invoice as "Paid" and then refunding the entire amount.
  1. Open the Square Point of Sale app.
  2. Go to the "Transactions" section.
  3. Locate the invoice you want to cancel.
  4. Tap on the invoice to open it.
  5. Select "Mark as Paid".
  6. Choose the "Refund" option.
  7. Confirm the refund amount (which should be the full invoice amount) and process the refund.
By following these steps, you'll essentially cancel the invoice by returning the associated payment.

Additional Points

  • Cancelled invoices are still visible in your Square Dashboard for record-keeping purposes.
  • If you accidentally cancel an invoice, you can duplicate it and send it again to your customer.
  • Square recommends verifying customer identity before resending invoices after failed payment attempts to avoid potential scams.
